How to Avoid Shipping Delays When Importing Components

A part that arrives a week late costs more than the part itself — it stalls a production line and can blow a customer deadline.

We've seen the same five problems cause most of these delays. Here's what to watch for when importing electronic components from China.

1. Customs Classification Errors

The #1 cause of port holds is incorrect HS code classification.

What goes wrong:

• Using "electronic components" as a generic category
• Misclassifying ICs vs passives vs modules
• Not updating HS codes when regulations change

Fix it:

• Always use the specific 8-digit HS code for each component type (8542.31.00 for ICs, 8532.24.00 for MLCCs)
• Ask your supplier to confirm the HS code on the commercial invoice matches
• Keep a reference table of your top 20 components' HS codes

2. Incomplete Documentation

Customs requires three documents: commercial invoice, packing list, and bill of lading.

Most common missing details:

• Country of origin (not just "China" — specify the province/city)
• ECCN (Export Control Classification Number) for ICs
• Value declaration must match payment records

Fix it:

• Use a documentation checklist before shipping
• Request draft documents 24 hours before loading
• For ICs, ask the supplier for the ECCN or EAR99 classification

3. Choosing the Wrong Incoterm

EXW (Ex Works) puts all risk on the buyer. If you're new to importing, this is a gamble.

For first-time buyers, we usually recommend DAP until you've cleared a few shipments yourself.

Standard air freight from Shenzhen to LA/SFO: 5-7 days. Express (DHL/FedEx): 2-4 days.

But add buffer for:

• Customs clearance: 1-3 days
• Ground transport on both ends: 1-2 days
• Holiday weeks (Chinese New Year, Golden Week, National Day)

Rule of thumb: For production-critical parts, add 50% to the quoted transit time.

5. Payment Method Delays

T/T (wire transfer) takes 1-3 business days to clear. If your supplier doesn't ship until payment clears, that's a built-in delay.

Accelerate:

• Use T/T with standing instructions (reduces to same-day for repeat transactions)
• Consider a small deposit account with trusted suppliers
• PayPal or escrow for small orders (instant, but higher fees)
